Welcome to Runy, the AI-native operating system for property management. This Privacy Policy describes how Runy ("we," "us," or "our") collects, uses, and shares information when you interact with our platform. This policy applies to all users, including Tenants, Property Owners, Vendors, Prospective Renters (Leads), and Property Managers.
This policy covers our web applications, mobile applications (e.g., the Runy Tenant App), and our Communication and Scheduler Modules, which integrate with third-party services such as Google, Microsoft, and Slack to facilitate operations.
2. Information We Collect
We collect data necessary to operate the Runy Kinetic Layer — the operational workflows of property management.
A. Personal & Account Information
- Identity Data: First name, last name, and role (e.g., Lead, Tenant, Vendor).
- Contact Data: Email address and mobile phone numbers.
- Transaction Data: Rent payments, vendor invoices, and lease agreements managed via our Payment Plan Module.
B. Connected Account Data (Integrations)
To provide a unified operating system, Runy allows you to voluntarily connect third-party accounts. If you choose to connect these accounts, we access specific data based on your permissions:
- Email Services (Gmail / Microsoft Outlook): If you connect your email, we access message metadata (sender, timestamp) and content to sync emails into the Runy Unified Inbox, allowing you to reply directly from Runy.
- Calendar Services (Google Calendar / Outlook Calendar): We access your Free/Busy status and event details to prevent double-booking and facilitate our Scheduler Module's "Speed-to-Lead" and maintenance coordination workflows.
- Collaboration Tools (Slack / Microsoft Teams): We access channel lists and user directories to send notifications (e.g., "Emergency Maintenance Alert") and log internal collaboration notes directly into Runy conversation threads.
3. How We Use Your Information
We use your data to power the automation and centralization features of the Runy OS:
- Unified Communication: Consolidating SMS, Email, and WhatsApp messages into a single thread to ensure no lead or maintenance request is missed.
- Scheduling Automation: Using your connected calendar availability to allow leads or tenants to book showings and repairs without manual back-and-forth.
- AI Assistance: Utilizing our AI Agents (e.g., LeadAI, Tenant Runy AI) to draft responses, categorize inquiries (e.g., "Urgent Leak"), and route tasks to the correct department.
- Operations: Processing lease executions, rent collection, and vendor dispatching.
4. Messaging (SMS/MMS) and Voice Consent (Opt-In)
Runy operates under a strict permission-based messaging policy to comply with A2P 10DLC regulations. We will not send you SMS/MMS messages or initiate automated calls unless you have explicitly opted in via one of the following workflows:
A. How We Obtain Consent (Opt-In) by User Role
1. Prospective Renters (Leads):
- Web Forms: By submitting an inquiry on our site (or integrated listing sites) and checking a box that states: "I agree to receive text messages and calls regarding my property inquiry from Runy."
- Scheduling: By entering your phone number into our Scheduler widget to book a property tour.
2. Tenants:
- Lease Execution: By signing a lease agreement that includes a specific clause consenting to receive administrative, payment, and maintenance-related text messages.
- Maintenance Requests: By submitting a work order via the Runy Tenant App or Portal, you consent to receive SMS updates regarding vendor scheduling and resolution status.
3. Vendors:
- Onboarding: By completing the Vendor Registration profile and agreeing to receive job offers, dispatch notifications, and site access codes via SMS.
4. Property Owners:
- Management Agreement: By signing a management contract that authorizes Runy to send SMS notifications regarding property performance, vacancies, and owner draws.
B. Opt-Out (STOP)
You can cancel SMS services at any time. Just text "STOP" to the short code or long code number from which you received a message. We will send a final SMS to confirm you have been unsubscribed. After this, you will no longer receive SMS messages from us.
C. Message Frequency & Cost
Message frequency varies based on your activity (e.g., active maintenance tickets or leasing inquiries). Standard message and data rates may apply.
5. Third-Party Data Sharing
We do not sell your personal data. We share information with service providers (e.g., Stripe for payments, Twilio for messaging) strictly to operate our services.
Strict Prohibition on Mobile Data Sharing: Notwithstanding any other provision in this policy, no mobile information (phone numbers) or text messaging originator opt-in data will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. Google User Data Policy (Limited Use)
Runy's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- We only use Gmail access to let users read and write emails within the Runy Unified Inbox context.
- We do not use Google Workspace data for generalized AI model training outside of your specific tenant context.
7. Data Security
We implement industry-standard security measures, including encryption at rest and in transit (AES-256 and TLS 1.2+), to protect your personal data. We enforce strict role-based access controls (RBAC) to ensure that only authorized personnel can access sensitive communications or calendar data.
